What is an
EML file?

Plain-English explanation of the email message format, what it contains, and why PDF is often the better sharing format.

Quick answer

An EML file is a saved individual email message. It can store headers, sender, recipients, subject, timestamp, plain-text content, HTML content, inline images, and attachments. EML is useful for preserving the original message, but PDF is usually better when you need to share, print, submit, or archive the email as a fixed record.

What an EML file contains

An EML file is a complete message package. Open it in a text editor and you will usually see email headers first: From, To, Subject, Date, Message-ID, content type, and routing details. After that comes the body, usually as MIME parts.

MIME is the reason email can contain both text and attachments. One EML file may include:

Where EML files come from

Many email clients and systems can create EML files. Common sources include Microsoft Outlook, Apple Mail, Mozilla Thunderbird, Gmail individual message downloads, helpdesk systems, and email migration tools. If a system exports one message per file, there is a decent chance the result is EML.

EML vs MSG vs EMLX vs MBOX

EML stores one email message in a broadly supported format. MSG is Microsoft Outlook’s proprietary message format. EMLX is used internally by Apple Mail. MBOX is different again: it stores many messages in one mailbox archive file.

That distinction matters. EML to PDF is built for individual .eml files. Do not assume an EML tool can process MBOX archives or MSG files unless it explicitly says so.

Why EML can be awkward to share

EML is good for preserving the original message, but not always good for humans. Recipients may not know what app opens it. Attachments may be hidden behind the mail client UI. HTML rendering can vary. Printing may show different headers depending on the app.

PDF solves a different problem: fixed layout. A PDF looks the same to the accountant, lawyer, client, judge, or manager who opens it.

When to convert EML to PDF

How conversion should handle attachments

Attachments are part of the record, but they do not always belong inside the PDF. For image or PDF attachments, embedding can create a useful complete document. For spreadsheets, ZIP files, or large binaries, extraction is usually cleaner.

Bottom line

Keep the EML file when you need the original message. Convert to PDF when you need something people can review, print, file, or submit without relying on a mail client.

Frequently asked questions

What does EML stand for?

EML is a common file extension for an individual email message file.

Can an EML file contain attachments?

Yes. Attachments can be encoded inside the message using MIME.

Is EML the same as MSG?

No. EML is broadly supported and text-based; MSG is Microsoft Outlook’s proprietary message format.
